TECC W.A. Pty Ltd (ACN 620 432 519) as trustee for the TECC W.A. Unit Trust (ABN 64 768 504 628), trading as TECC WA

Effective 11 October 2026

1. About this policy

TECC WA respects your privacy and handles personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

In this policy, “TECC WA”, “we”, “us” and “our” mean TECC W.A. Pty Ltd (ACN 620 432 519) as trustee for the TECC W.A. Unit Trust (ABN 64 768 504 628), trading as TECC WA. We provide commercial kitchen, exhaust, duct and filter cleaning and related services in Western Australia.

“Personal information” means information or an opinion about an identified person, or a person who can reasonably be identified.

This policy explains what personal information we collect, why we collect it, how we use and protect it, who we share it with, and how you can access it, correct it or make a complaint. It applies to our clients and their staff, site contacts, suppliers, contractors, job applicants and anyone who contacts us or uses our website.

2. What personal information we collect

We collect only what we need to quote, schedule, carry out and invoice our services and to run our business. Depending on how you deal with us, this may include:

  • Clients and site contacts: name, job title, business name, phone number, email address, site and billing addresses, and site access arrangements such as key, alarm or after-hours instructions.
  • Accounts: billing contacts, payment and remittance details, and your payment history with us.
  • Service records: quotes, job history, service reports, compliance certificates, photos taken on site, and records of calls, emails and messages with you.
  • Suppliers and contractors: contact details, ABN, bank details, licences, insurance and qualifications.
  • Job applicants: resume, work history, references, licences, qualifications and right-to-work documents.
  • Website visitors: details you enter in an enquiry form, and technical information such as IP address, browser type and pages viewed.

We do not generally collect sensitive information, such as health information or criminal records. Where we need it, for example a police clearance required by a client site or details of a workplace incident, we collect it only with your consent or where the law requires or allows it.

You can make a general enquiry without identifying yourself. To give a quote or provide a service we will usually need to know who you are.

3. How we collect it

We collect most personal information directly from you: when you request a quote, book or receive a service, phone, email or message us, complete a form, apply for a job, or supply goods or services to us.

We also collect information:

  • from your employer or the business that engages us, such as a venue owner, facilities manager, building manager or head contractor who gives us your details as a site contact;
  • from our staff on site, who record job notes and photos in our operations system;
  • from referees, recruitment providers and licence or qualification checks, for job applicants;
  • from public sources such as business registers and websites;
  • through our website.

If you give us personal information about someone else, please make sure they know you have done so and that they can read this policy.

4. Why we collect, hold, use and disclose it

We use personal information to:

  • prepare quotes and proposals;
  • schedule, confirm and carry out services, including job confirmations and reminders by phone, SMS or email;
  • arrange safe access to sites and meet site induction and safety requirements;
  • prepare and issue service reports, compliance certificates and supporting photos;
  • invoice, process payments and recover overdue amounts;
  • respond to enquiries, complaints and feedback;
  • manage suppliers, contractors and recruitment;
  • tell you about services that are due or that may be relevant to your business (see section 8);
  • maintain and improve our systems, records, training and service quality;
  • meet our legal, tax, insurance and work health and safety obligations.

We will not use or disclose your personal information for any other purpose unless you consent, you would reasonably expect it, or the law requires or allows it.

If you do not give us the information we ask for, we may not be able to provide a quote or service.

5. Photos and site records

Our staff take before and after photos of the equipment and areas we clean. The photos show the work was done and support the service report and compliance certificate we give the client.

Photos are of equipment and work areas, not people. If a person appears in a photo by chance, we do not use the image to identify them.

Photos are stored with the job record. We give them only to the client, to people the client asks us to send them to (such as a landlord, building manager or insurer), or where the law requires it. We do not use photos that identify a person or a client’s premises in our marketing without permission.

6. Who we share it with

We do not sell personal information. We share it only as needed to run our business, with:

  • the client that engaged us, and people the client nominates such as building managers, landlords, insurers or auditors;
  • our employees and contractors who need it to do their work;
  • service providers who support our business, including IT and software providers (our operations, accounting, email and cloud storage systems), administration and accounts support, banks and payment providers, SMS and email delivery services, debt collection agencies, and professional advisers such as accountants, lawyers and insurers;
  • government agencies, regulators, courts and law enforcement, where the law requires or authorises it;
  • a buyer or prospective buyer of all or part of our business, under an obligation of confidentiality.

We require our service providers to use personal information only for the services they provide to us and to keep it secure.

7. Overseas disclosure

Our operations system, which holds our client, site and job records, is hosted on a secure database in Perth, Western Australia.

Some other software we use, such as our accounting, email and cloud storage services, is provided by companies that may store or process information on servers outside Australia, including in the United States.

Where we disclose personal information overseas, we take reasonable steps to make sure the recipient handles it in a way that is consistent with the Australian Privacy Principles.

8. Direct marketing

We may contact you by phone, email or SMS about services that are due, or about other TECC WA services we think are relevant to your business.

You can opt out at any time by using the unsubscribe option in the message or by contacting us (section 16). We will act on your request within five business days.

If you opt out, we will still send you messages about jobs you have booked, invoices and compliance paperwork. We do not give your details to other organisations for their marketing.

9. Our website

When you visit our website, we and our service providers (such as Google) may use cookies and similar tools to collect information such as your IP address, device and browser type, the pages you view and how you reached the site. We use this to keep the site working and to understand how it is used.

You can block cookies in your browser settings. Some parts of the site may not work as well if you do.

If you send an enquiry through the website, we collect the details you enter, such as your name, phone number, email address, postcode and comments.

Our website may link to other websites. We are not responsible for their privacy practices.

10. Automated systems

We use an operations software system to run our jobs. It schedules recurring services, sends job confirmations and reminders, records job sign-off, and issues invoices, service reports and compliance certificates from the job record.

These processes use contact details, job records and account information. Our staff oversee the system and can review anything it produces. If you think it has got something wrong, contact us (section 16) and a person will review it.

11. Storage, security and retention

We hold personal information in electronic systems, including our operations system, accounting software, email and cloud storage, and in some paper records at our office.

We take reasonable steps to protect it from misuse, loss and unauthorised access. These include password-protected systems, limiting access to staff who need the information, and secure office premises.

No system is completely secure. If a data breach is likely to cause serious harm, we will notify the people affected and the Office of the Australian Information Commissioner as the law requires.

We keep personal information only for as long as we need it for the purposes in this policy or as the law requires. Financial and tax records are generally kept for seven years. When information is no longer needed, we take reasonable steps to destroy or de-identify it.

12. Employees, contractors and job applicants

Employees. The Privacy Act does not apply to our handling of an employee record where it relates directly to a current or former employment relationship. We still keep employee records confidential and secure, and we comply with workplace laws that apply to them.

Our staff use an app to sign in and out of jobs and to upload job photos and expenses. The app records the time, the job site and the staff member’s location at sign-in, for rostering, payroll and compliance purposes.

Job applicants. We advertise roles and receive applications through SEEK (seek.com.au). We use the information in your application, and information from your referees, to assess you for the role. Applications are held in our SEEK employer account for as long as SEEK retains them, and SEEK’s own privacy policy also applies to them.

Contractors and suppliers. This policy applies in full to personal information about contractors, suppliers and their staff.

13. Accessing and correcting your information

You can ask to see the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date or incomplete. Contact our Privacy Officer using the details in section 16.

We will need to confirm your identity first. We will respond within 30 days.

There is no charge for making a request. If a request is large or complex, we may charge a reasonable fee to cover the cost of providing access, and we will tell you the cost first.

In some cases the law allows us to refuse access or correction. If we refuse, we will tell you why in writing and explain how you can complain.

14. Complaints

If you think we have mishandled your personal information, please tell our Privacy Officer in writing using the details in section 16. We will acknowledge your complaint within 7 days and give you a written response within 30 days.

If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC):

  • Website: www.oaic.gov.au
  • Phone: 1300 363 992
  • Post: GPO Box 5288, Sydney NSW 2001
